As of the time of this writing, we do not know if we will be using ENA or Bellsouth as an Internet Provider. The State Department is trying to decide which vendor is better and we will most likely go with the provider the State chooses.
That, along with a few other reasons mentioned on the first page, is why we are trying to provide you with an email solution that's comparable or better than the TenNash system.
If the State chooses Bellsouth as the "State Approved Internet Provider", we might have to switch to Bellsouth at the last minute. If this happens, our ENA contract will run out at the end of June 2007. At that time, all email accounts might, or might not be deleted. We know most Administrators and Teachers need access to email they have saved. Below, you will find some helpful tips that will ensure your old email will not be deleted.
First, and most importantly, you need to send an email to all your contacts informing them of your new email address. Hotmail, YahooMail, K12tn.net mail, Gmail and AOL Mail have all been checked. It has been verified that email sent to and from these vendors will work with our new mctns.net system. All possible steps have been taken that will ensure our mctns.net system will not be blocked, or "Black Listed" from any outside email system.
If you are using Microsoft Outlook or Microsoft Outlook Express.
We do not recommend using either of these products for several different reasons.
- The new email system has "Public Folders". These folders are setup in Calendar Format for each school. Each Principal will have access to enter events in their school's calendar and each teacher will have access to see these events. Microsoft Outlook and Outlook Express will not support the public folders.
- As explained under "How do I change my password?" on the first page, you MUST login using OWA and click options to change your password. If you use Microsoft Outlook or Outlook Express, you will not have the options button and will not be able to change your email password.
- When you setup either of these two clients, they save your username and password so they can remain connected to the email server. Anyone can walk into your office or classroom and access your email at any time. This is a huge security risk for you and the school system. We do not have a policy limiting the use of these products, but it is strongly recommenced that you do not.
- When you use Outlook or Outlook Express, email is downloaded and deleted from the email server and stored on your local computer. If anything happened to your computer, all your email and contacts would be lost.
- If you are out of town or on vacation, and need access to an email or contact, you could not access them because all your information is stored on your local computer. If you use the provided Outlook Web Access (OWA) client, you can access all your information from anywhere in the world.
- The K12TN.net system did not provide adequate contact, calendar and task functions. OWA provides a full working contacts database, calendar (with event reminders), tasks section, notes and journal. It works, and looks, just like the full version of Outlook Professional.
However, if you still want to us Outlook or Outlook Express, you will need to complete the following steps (Outlook Express ONLY).
- Open Outlook Express, click on Tools | Accounts then click on the Mail Tab.
- Click on your email account and choose Properties.
- On the General Tab, change your Email address and Reply address.
- On the Servers Tab, Incoming mail (POP3): mail.mctns.net and Outgoing mail (SMTP): mail.k12tn.net
- Account Name: your new username, Password: the password your were given.
- Click Ok
- Click Close
- Click Send/Recv on the top toolbar to test your settings.
If you are using Microsoft Outlook complete the following steps.
- Open Outlook, click Tools | Email Accounts. The Change E-Mail Address Wizard starts.
- Select View or change existing e-mail accounts, and click next.
- Select your mail.k12tn.net account and click change.
- Under User Information > E-mail Address, type in your new email address.
- Under Server Information > Incoming mail server (POP3): mail.mctns.net
- Under Server Information > Outgoing mail server (SMTP): mail.k12tn.net
- Under Logon Information > User Name: type your new username.
- Under Logon Information > Password: the password your were given.
- Click "Test Account Settings". If all is well, you will see 5 green check marks. If not, click close and check the above fields.
- After all settings are correct, click Close then Next then Finish.
